Rental Agreement Terms

These Rental Agreement Terms summarize the policies that apply to every RoamXRV rental. A separate Rental Agreement is signed at pickup and is the binding contract. In any conflict between this summary and the signed Rental Agreement, the signed Rental Agreement controls.

1. Driver Requirements

Primary driver must be at least 25 years old.
Valid U.S. or Canadian driver's license (no CDL required for this Class C).
Clean driving record — no DUI within 7 years, no more than 2 moving violations in 3 years.
All drivers must be listed on the Rental Agreement. Unlisted drivers are not covered.

2. Reservations & Deposits

A reservation is confirmed only after a signed Rental Agreement and reservation deposit are received.
A refundable security/damage deposit is collected before pickup and held on a credit card. It is released after the RV is returned and inspected.
Final balance is due before keys are handed over at pickup.

3. Payment Methods

We accept major credit cards through our third-party payment processor.
The cardholder must be the primary driver and present at pickup.
Renter is responsible for all chargebacks, returned payments, and related fees.

4. Cancellation & Refund Policy

See our full Cancellation & Refund Policy. Summary:

60+ days before trip: full refund of payments, less a non-refundable booking fee.
30–59 days: 50% refund of paid amounts.
Less than 30 days: no refund. We strongly recommend trip insurance.
No refunds for early returns, unused nights, weather, road conditions, or campground closures.

5. Insurance

Renter must provide proof of personal auto insurance that extends to rented RVs, or purchase coverage through our recommended RV insurance provider.
Renter is responsible for the full insurance deductible on any claim.
Roadside assistance is included where noted in writing.

6. Mileage & Generator

Mileage allowance and overage rates are stated in your written quote.
Generator hours are metered; overage rates apply.
Fuel and propane are returned at the same level as pickup, or refueling charges apply.

7. Pets

We are pet friendly. A pet fee and pet addendum are required.
Renter is responsible for any pet-related damage, cleaning, or odor remediation.

8. No Smoking

Smoking, vaping, and cannabis use of any kind inside the RV are strictly prohibited. Violation results in a minimum $500 cleaning fee and forfeiture of the security deposit.

9. Prohibited Uses

No commercial use, ride-share, or sub-rental.
No off-road driving, beaches, or unpaved primitive sites without written approval.
No travel outside the continental United States without written approval.
No transporting hazardous materials, illegal substances, or more passengers than seat belts.

10. Damage, Loss & Cleaning

Renter is responsible for all damage, loss, or theft occurring during the rental period, regardless of fault.
Standard departure cleaning is included. Excessive dirt, food residue, holding tanks not dumped, or pet hair will incur additional cleaning fees.
Lost keys, remotes, or accessories are billed at replacement cost.

11. Late Returns

Late returns disrupt the next renter. A late fee of $50 per hour(minimum $100) applies after the agreed return time, plus any costs we incur to accommodate the next reservation.

12. Breakdowns & Mechanical Issues

We maintain the RV regularly, but mechanical issues can happen. Notify us immediately. We are not responsible for incidental expenses (lodging, meals, missed events) caused by mechanical issues, weather, or third-party actions, except as required by Florida law.

13. Liability Release

Renter accepts the RV "as is" and assumes all risks of RV travel and camping. To the maximum extent permitted by law, renter releases RoamXRV from liability for personal injury, property damage, or loss arising from use of the RV, except where caused by RoamXRV's gross negligence or willful misconduct.

14. Governing Law

This agreement is governed by Florida law. Exclusive venue for disputes is Pasco County, Florida.
